YSC Data Protection 2011

YSC complies with the data protection laws in the United Kingdom and takes all reasonable care to prevent any unauthorised access to your personal data.

We have developed this policy to ensure that you are confident and comfortable about the privacy and security of your personal information

YSC has a responsibility to keep your information confidential and the personal details that you provide to the club will NOT be passed to ANY organisation outside the YSC without your express consent. There are two exceptions to this:

1. Email addresses and telephone numbers are stored on the Dutyman system for the purposes of administering duty rosters and sending emails to members. This system is provided by Radix Software and uses an industry standard secure server. Access to data is controlled by YSC Sailing Secretary and information will not be passed to any third party.

2. When YSC has a legal obligation to release personal information (e.g. to law enforcement agencies) this will only be passed to an authorised person.

YSC will use your information for the purposes of club administration and for passing on relevant information to club members (e.g. newsletters, training and event information, etc).

The email address and/or telephone numbers that you provide will also be available for member to member contact unless you tell us that you do not want this information to be available to other members.

Information held

We hold your name, address, telephone numbers, email addresses that you supplied to us on your membership or renewal form. You can also enter your contact details into your Dutyman account that can be seen by other members (or you can opt out of displaying your details in this system).

Junior records

We collect data on junior training consent forms and on event entry forms including contact details, emergency contact details and possible medical conditions. The forms are kept securely at the club during the training / event and are available for organisers and coaches to consult. The data is kept until the end of the series of training sessions that the junior is attending or until the end of the event and is then destroyed.

Right of Access to Information

If you want to know exactly what personal information the YSC holds on you, you can obtain it. If it transpires that the information held is inaccurate, we will make the necessary amendments and confirm to you that these have been made. Please write to the YSC Secretary.

Use of the YSC website

The YSC website contains useful information and we want to help you find what you want as quickly as possible. The more we know about you, the easier it is for us to help you.

Currently you need only register to gain access to YSC Members areas, and to amend your membership details.

When you register, any details you provide will be stored for use on future visits, as we do not want you to give us any information more than once. The YSC is serious about guarding the security of your personal data.

Over and above what the YSC do to safeguard your privacy and security, there are a number of things you can do to protect yourself from Internet fraud:

Choose a password you can remember but others will not guess, change it regularly, and if you do write it down, keep it somewhere safe and secure. When you have finished your session on the YSC website, make sure that you prevent your details being seen by anyone that you do not wish to see them. So, if you have registered and logged in, remember to log off.

Use of Cookies

The YSC website may create a 'cookie' whilst you are online. A 'cookie' is a piece of information, like a tag, which websites create on your PC.

Our 'cookie' stores some basic information which helps us to identify if you have visited the site before. However, as it is held on your PC, we will not find the 'cookie' if you visit the YSC site from a different PC. The YSC’s use of 'cookies' includes the following assurance:

No information regarding your account or payment details is included in the cookie or can be accessed by using it.

If you do not want a cookie to be created on your PC, web browsers such as Netscape and Internet Explorer provide the option to disable them. Please bear in mind that some services on the YSC website may not be available if you choose to disable cookies.

Third Party Sites

Third party Internet sites that you can link to through YSC website are not covered by our Privacy and Security policy, so we urge you to be careful when you enter any personal information online. The YSC accepts no responsibility or liability for these sites.
